Review & Approve Inspection

This article explains how to review and approve inspections after they have been completed by the resident or staff member.

When a resident or staff member submits a performed inspection, it is also submitted for approval. If you have the appropriate permissions, you can review the inspection results to oversee and approve any required maintenance.



  1. In Entrata, navigate to: Dashboard >> My Dashboard >> Approvals >> Inspections
    1. This will take you to "Completed Inspections Awaiting Review" 
  2. Locate an inspection and click Review Inspection.
  3. Click the inspection and review the flagged items under the Inspection tab, as well as the information in the Additional Inspection Notes section. Based on the information from the inspection, select the appropriate option in-line with each flagged item.
    1. Create a Work Order: This option indicates that at least one work order needs to be created.
    2. Add to make ready: This option (which only appears for move-out inspections) indicates that a make ready needs to be created.
    3. Do nothing: This option indicates that no work orders or make readies are needed.
    4. Charge resident: This option allows you to charge a resident for damages or repairs.

  4. If you toggle Charge Residents to Yes. Additional fields appear:
    1. Select an option from the Charge Code drop-down.
    2. Enter an amount in the Charge Amount field.
    3. If applicable, select a Post Charges option.
  5. If required by your property, click  Sign Here in the Inspection Overview section, then collect signature from the resident and click Save Signature.
  6. If the inspection was completed by paper,  click  Add Physical Copy in the Inspection Overview section to upload a physical copy of the inspection or any other related document.
  7. When finished, click the green button—which will vary depending on the option you selected in step 4—in the bottom-right corner:
    1. Approve Inspection
    2. Create Work Orders and Approve Inspection

Creating Work Orders

If actions are needed for an inspection, a work order is automatically created and the View Work Order window opens after you update the inspection.

  • In the View Work Order window, click Assign next to a problem.
  • In the Assign Work Order window, select an Assigned Employee and/or an Assigned Vendor.
  • Enter a Scheduled Date, and click Save.
  • Repeat the above steps until all problems have been assigned to someone.
  • If needed, click the Update Status drop-down menu on the right and select a new status.
