This article explains how an Inspection is performed by staff or residents.
When a resident or staff member submits a performed inspection, it is also submitted for approval. If you have the appropriate permissions, you can review the inspection results to oversee and approve any required maintenance.
- In Entrata, go to
Residents >> Maintenance >> Inspections
.- To locate a specific inspection list, hover over the filter icon in the left sidebar and click Filter, or click a heading to sort by a specific column.

- Select the inspection from the list to open the inspection in a new window.
- If applicable, add any notes in the Notes/Condition textbox in-line with an item.
- If applicable, select an option from the Actions drop-down in-line with an item.
- If applicable, click the add icon in the Attachments column in-line with an item to attach a photo showing the condition/damage.
- Adding Photo Attachments - You can add photos, videos, documents, or spreadsheets to associate with an inspection item. In the Add Attachments window, click Choose Files and select the file(s) to attach to the item.
- Click Save when finished to close the window and see a preview of the file(s) in the Attachments column in-line with the item.
- Repeat steps 3–5 for each "Problem" in the list that needs to be flagged for review.
- If you need to close an inspection and finish performing it later, scroll to the bottom of the page, click the drop-down arrow next to Submit Inspection, and select Save Progress and Exit.

- If needed, collect the resident's signature:
- In the Inspection Overview section on the right, click Sign Here.
- The resident signs or you sign off on behalf of the resident in the Sign this Inspection window.
- Click Save Signature. The signature saves, and you return to the Inspection window.
- Click Submit Inspection.
